The Integration Feature allows Agents to Share Documents with one another when both agents use CTM eContracts.
The Sharing or Linking process eliminates the need to email documents back and forth.
For the Listing Agent, this feature provides easy single-click green links to accomplish numerous tasks related to the transaction. Once a CTM eContracts Buyer`s Agent emails an electronic CONTRACT TO BUY AND SELL and the transactions are successfully linked, an Integration Window/Box will appear below the set of electronic documents in the Listing Agent`s Detailed Transaction for that Seller.
This Integration Window/Box contains multiple green links:
- View Offer - CBS Contract
- Sign this Offer
- Update Contract Deadlines
- Allow Buyer`s Agent to View Disclosures/Documents
- Place offer in Docs Management
- Update Buyer and Selling Agent info in C Sheets
- Create Counterproposal for this offer
- Create Agree. to Amend/Extend for this offer
- Create Inspection Resolution for this offer
- Create Disclosures & Folder for this Buyer`s offer
Transaction Integration Features: The Listing Agent will be able to:
1. Share documents with the Buyer`s Agent
2. View shared Disclosures/Documents that are shared from the Buyer`s Agent
3. Track Contract Deadlines from the offer received through Integration
4. Quickly create a set of disclosures enabled for Buyer signature
5. Allow the Buyer`s Agent to view DISCLOSURES very quickly
6. Create a PDF version of the offer instead of printing and scanning
7. Electronically sign the offer
8. Update their eContact Sheet and Closing MLS Info Sheet with one-click
9. Create a COUNTERPROPOSAL and/or an AMEND-EXTEND for the offer(s) received
10. Create multiple folders to organize offers, title documents and back-up offers
In addition, from the Integration Window/Box in the Seller`s Detailed Transaction the Listing Agent can:
1. Change Offer Status to INACTIVE for an offer. By changing Offer Status, you will not be deleting a previous offer but hiding it and breaking the link that permits you to share documents and view shared documents
2. Save Notes concerning each offer. This benefits you, your Co-Lister or Transaction Coordinator
View and Upload the Contract to Buy and Sell
When you have received a CONTRACT TO BUY AND SELL from an agent that is also using eContracts you can view the offer and upload the contract as a PDF to your Docs Management.
1. From the main screen click on your Client`s Name
2. Click on the Property Address
3. Go to the bottom of your list of CONTRACTS/DISCLOSURES/DOCUMENTS
4. In the Integration Window/Box click on View Offer - CBS Contract to view the offer
5. Click on Place offer as PDF in Docs Management to create a PDF copy and the CBS will automatically upload into your Docs Management
NOTE: Upload CBS after your clients have signed the contract or countered/rejected
6. Click on Sign this Offer to sign the offer. You will be prompted to complete Section 34 before signing.
Create Counterproposal from Offer Received
1. From the main screen click on your Client`s Name
2. Click on the Property Address
3. Go to the bottom of your list of CONTRACTS/DISCLOSURES/DOCUMENTS
4. In the Integration Window/Box click on Create Counterproposal for this offer
5. The COUNTERPROPOSAL will come up in a new window with the Buyer`s Name(s) in it
6. Then fill out your COUNTERPROPOSAL and click Save
7. You can now share this document with the Buyer`s Agent. Click on Allow Buyer`s Agent to View Disclosures/Documents
8. Select the COUNTERPROPOSAL
9. Click Save to allow the Counterproposal to show in the Buyers Agent`s eContracts account in their Integration Window/Box
NOTE: At the time that you ALLOW the other agent to view electronic or Docs Management documents, an automatic email notification will be sent to both integrated agents. This means that you will have documentation in your personal email account that you have successfully shared documents with the correct integrated agent.
Share Disclosures with Buyer`s Agent
When you have received a CONTRACT TO BUY AND SELL from an agent that is also using eContracts you as the Listing Agent can easily create and share the DISCLOSURES through eContracts.
1. From the main screen, click on your Client`s Name
2. Click on the Property Address
3. Go to the bottom of your list of CONTRACTS/DISCLOSURES/DOCUMENTS
4. In the Integration Window/Box click on Create Disclosures & Folder for this Buyer`s offer
5. You will then be able to select which locked DISCLOSURES you wish to create with the Buyer`s Name(s) added
6. You may have the software automatically create a folder for that Buyer or you may decide to move the new disclosures to a different folder
7. After you select the DISCLOSURES/DOCUMENTS to create, click on the Recreate Documents button at the bottom right of the screen
8. Now you may share these documents by clicking on Allow Buyer`s Agent to View Disclosures/Documents
9. Then select which DISCLOSURES/DOCUMENTS you want to send to the Buyer`s Agent
10. Then click Save
NOTE: When you are Integrated with another CTMeContracts agent, you can also share documents you have uploaded into the Docs Management Folder
NOTE: If you no longer want the Buyer`s Agent to view the disclosures:
1. Click on Allow Buyer`s Agent to View Disclosures/Documents
2. Uncheck the box next to the DISCLOSURE/DOCUMENT
3. Click Save
Note: The Buyer`s Agent will automatically receive an email notification of the status of shared documents
